If you do not agree to these Terms, you may not access or use the Service. These Terms constitute a legally binding agreement between you and Letter Sender.
We may update these Terms from time to time. Your continued use of the Service after any changes constitutes your acceptance of the revised Terms. We encourage you to review these Terms periodically.
2. Description of Service
Letter Sender is a digital platform that allows users to compose, customize, and send physical letters and postcards through the United States Postal Service (USPS). We handle printing, postage, and delivery on your behalf.
Our Service includes, but is not limited to:
- Composing and formatting physical letters
- Creating and customizing photo postcards
- Address book management and address validation
- Secure payment processing for mail orders
- Order tracking and delivery status updates
- Contacting elected officials via physical mail
Letter Sender is not a postal service. We are a technology platform that facilitates the creation and submission of mail items to USPS for delivery. We act as an intermediary between you and USPS.
3. Account Registration
To use certain features of the Service, you must create an account. When registering, you agree to the following:
- Age Requirement: You must be at least 18 years of age, or have the consent and supervision of a parent or legal guardian, to create an account and use the Service.
- Account Security: You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.
- One Account Per Person: Each individual may maintain only one active account. Creating multiple accounts may result in suspension or termination of all associated accounts.
- Accurate Information: You agree to provide accurate, current, and complete information during the registration process and to update such information as necessary to keep it accurate, current, and complete.
- Authentication Methods: Letter Sender supports account creation and authentication via Google Sign-In or email and password. By using Google Sign-In, you also agree to Google's Terms of Service and Privacy Policy.
We reserve the right to suspend or terminate your account if any information provided proves to be inaccurate, not current, or incomplete.
4. Service Usage
Letter Sender is available for both personal and business use. When using the Service, you agree to the following:
- Content Responsibility: You are solely responsible for the content of all mail sent through the Service, including but not limited to the text, images, and recipient addresses.
- Prohibited Uses: You must not use the Service for any illegal purposes, including but not limited to sending mail that constitutes harassment, threats, intimidation, fraud, or contains obscene, defamatory, or otherwise unlawful material.
- USPS Compliance: All mail sent through the Service must comply with applicable USPS regulations, including restrictions on hazardous materials, prohibited content, and mailing standards.
- Address Validation: While we provide address validation services to help ensure accuracy, we do not guarantee the accuracy or deliverability of any address. It is your responsibility to verify the correctness of recipient addresses before submitting an order.
- Fair Use: You agree not to use the Service in any manner that could damage, disable, overburden, or impair our servers or networks, or interfere with any other party's use and enjoyment of the Service.
5. Orders and Payments
By placing an order through Letter Sender, you agree to the following payment terms:
- Pricing: Prices are displayed at the time of order. Current pricing is as follows: Letters start at $1.99 per letter and Postcards start at $1.49 per postcard. All prices include printing and USPS postage.
- Payment Processing: All payments are processed securely through Stripe, a PCI-compliant payment processor. We do not store your complete credit card information on our servers.
- Non-Refundable Orders: Orders are non-refundable once they have been submitted for printing and processing. Please review your mail content and recipient addresses carefully before confirming your order.
- Refund Exceptions: Refunds may be issued at our discretion in cases of undeliverable mail due to service errors on our part, duplicate charges, or other circumstances where the failure to deliver was caused by Letter Sender.
- Pricing Changes: We reserve the right to change our pricing at any time. Any price changes will be communicated to users in advance and will not affect orders that have already been placed and paid for.
- Taxes: You are responsible for any applicable taxes associated with your use of the Service, unless otherwise stated.
6. Delivery
Letter Sender partners with USPS for the physical delivery of all mail items. By using the Service, you acknowledge and agree to the following:
- USPS Delivery: All physical mail delivery is handled exclusively by the United States Postal Service. Once your mail is handed off to USPS, delivery is subject to USPS terms, policies, and service levels.
- Estimated Delivery Times: Any delivery time estimates provided by Letter Sender are approximate and are not guaranteed. Delivery times may vary based on USPS processing, destination, weather, holidays, and other factors beyond our control.
- No Liability for USPS Issues: We are not responsible for USPS delays, lost mail, damaged mail, misdelivered mail, or any other delivery errors that occur after mail has been transferred to USPS.
- Tracking: Where available, we will provide tracking information for your mail items. Tracking availability and accuracy are dependent on USPS services and may not be available for all mail types.
- Processing Time: Mail submitted through Letter Sender is typically printed and posted within 1-2 business days of order confirmation. Business days exclude weekends and federal holidays.
7. Content Policy
Letter Sender respects your ownership of the content you create and submit through our Service. By using the Service, you agree to the following content policies:
- Content Ownership: You retain all ownership rights to the content you create and submit through Letter Sender, including but not limited to letter text, photographs, and other media.
- Limited License: By submitting content through the Service, you grant Letter Sender a limited, non-exclusive, royalty-free license to process, print, and deliver your content solely for the purpose of fulfilling your mail orders. This license terminates once your order has been fulfilled.
- Copyright Compliance: You must not upload, submit, or include any copyrighted material in your mail without the express permission of the copyright owner. You represent and warrant that you have all necessary rights and permissions to use any content you submit.
- Prohibited Content: You must not include content that is illegal, threatening, defamatory, obscene, pornographic, discriminatory, or otherwise objectionable. This includes content that promotes violence, hatred, or illegal activities.
- Right to Refuse: We reserve the right to review, refuse to process, or remove any content that, in our sole discretion, violates these Terms, applicable law, or is otherwise objectionable. We may do so without prior notice to you.
8. Intellectual Property
The following intellectual property terms apply to your use of Letter Sender:
- Our Property: The Letter Sender name, logo, branding, and all associated trademarks, service marks, and trade dress are the exclusive property of Letter Sender. You may not use our branding without our prior written consent.
- Service Protection: The design, layout, functionality, and underlying technology of the Service, including but not limited to software, algorithms, user interfaces, and documentation, are protected by copyright, patent, trademark, and other intellectual property laws.
- Restrictions: You may not copy, modify, distribute, sell, lease, reverse engineer, decompile, or disassemble any part of the Service or its underlying technology. You may not create derivative works based on the Service without our express written permission.
9. Privacy

- Maximum Liability: Our total aggregate liability to you for all claims arising out of or relating to the Service or these Terms shall not exceed the total amount you have paid to Letter Sender in the twelve (12) months immediately preceding the event giving rise to the claim.
- User Content: We are not responsible for the content of any mail sent through the Service. You are solely responsible for ensuring that your mail content is lawful, accurate, and appropriate.
- USPS Delivery: We are not responsible for any issues related to USPS delivery, including but not limited to delays, lost mail, damaged mail, or delivery to incorrect addresses caused by USPS.
11. Indemnification
You agree to defend, indemnify, and hold harmless Letter Sender, its officers, directors, employees, agents, licensors, and affiliates from and against any and all claims, damages, obligations, losses, liabilities, costs, or expenses (including but not limited to reasonable attorney's fees) arising from:
- Your use of and access to the Service
- Your violation of any term of these Terms
- Your violation of any third-party right, including but not limited to any copyright, trademark, property, or privacy right
- The content of any mail you send through the Service
- Any claim that your content caused damage to a third party
This indemnification obligation will survive the termination of these Terms and your use of the Service.
12. Termination
The following terms govern the termination of your account and use of the Service:
- Termination by You: You may terminate your account and stop using the Service at any time by contacting us at support@lettersender.app or through your account settings.
- Termination by Us: We reserve the right to suspend or terminate your account and access to the Service at any time, with or without cause, and with or without notice. Reasons for termination may include, but are not limited to, violations of these Terms, fraudulent activity, abuse of the Service, or legal requirements.
- Pending Orders: In the event of termination, we will make reasonable efforts to fulfill any pending orders that have already been paid for, unless fulfillment would violate these Terms or applicable law.
- Effect of Termination: Upon termination, your right to access and use the Service will immediately cease. Provisions of these Terms that by their nature should survive termination shall survive, including but not limited to ownership provisions, warranty disclaimers, indemnification, and limitations of liability.
13. Dispute Resolution
In the event of a dispute arising from or relating to these Terms or the Service, the following procedures shall apply:
- Governing Law: These Terms shall be governed by and construed in accordance with the laws of the United States, without regard to conflict of law principles.
- Informal Resolution: Before filing any formal legal action, you agree to attempt to resolve any dispute informally by contacting us at support@lettersender.app. We will attempt to resolve the dispute informally within 30 days of receiving your notice.
- Binding Arbitration: If a dispute cannot be resolved informally, you and Letter Sender agree to resolve the dispute through binding arbitration, rather than in court. Arbitration shall be conducted in accordance with the rules of the American Arbitration Association (AAA). The arbitrator's decision shall be final and binding.
- Class Action Waiver: You agree that any dispute resolution proceedings will be conducted only on an individual basis and not in a class, consolidated, or representative action. You waive any right to participate in a class action lawsuit or class-wide arbitration.
- Small Claims Court: Notwithstanding the above, either party may bring an individual action in small claims court for disputes within the jurisdiction of the small claims court.
14. Modifications to Terms
Letter Sender reserves the right to modify, amend, or update these Terms at any time at our sole discretion. When we make material changes to these Terms, we will:
- Update the "Last Updated" date at the top of this page
- Notify registered users via email or through the Service
- Post the updated Terms on our website
Your continued use of the Service after any modifications to these Terms constitutes your acceptance of the revised Terms. If you do not agree to the modified Terms, you must stop using the Service and close your account.
15. Severability
If any provision of these Terms is held to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions of these Terms shall remain in full force and effect. The invalid or unenforceable provision shall be modified to the minimum extent necessary to make it valid, legal, and enforceable while preserving its original intent.
